Our Lead Project Manager, Miloš, hosted an in-house workshop focused on one of the most crucial skills in the modern workplace – time management. But this wasn’t your typical lecture on productivity. It was a practical, hands-on session filled with real-life examples, personal habits, and tool recommendations that Miloš uses daily to stay organized, focused, and efficient.

Projects are like houses – build them step by step

Miloš kicked things off with a simple but effective analogy: managing a project is like building a house. You have foundations, walls, wiring, roofing – all structured in phases. Similarly, using tools like YouTrack, tagging tasks with labels such as research, estimation, or dashboard helps teams visualize work clearly and improves reporting accuracy. Color-coded tags not only help track effort but also guide future planning and estimation.

Inbox Zero & gmail tricks

Miloš is an inbox zero advocate.
Unread emails stay at the top, and anything he can’t address right away gets marked as unread or forwarded to inbox from Google Chat. This way, no task falls through the cracks, and everything stays clean and under control. Too many emails? Time to unsubscribe, not ignore.
 

ActiveCollab – Keeping clients in check

Miloš reminded us of why we still use ActiveCollab, especially for client communication. It’s easy to use and helps avoid messy email threads. All requests, feedback, and updates go into tasks. That way, nothing gets lost – and if it’s not in the system, it didn’t happen. Simple as that.
 

I still use paper for sketching, brainstorming, and personal projects. But when it comes to searchability, shareability, and structure – digital wins. Especially when notes need to be accessible anytime, anywhere.

Obsidian

For work and project notes. Markdown-based, synced across devices, and extremely customizable.

Google Keep

For quick personal checklists, reminders, travel prep, and small details like shoe size or Wi-Fi passwords.

WriteBook

A self-hosted tool Miloš uses for writing long-form content like recipes, documentation, or even book ideas.

What made this workshop so impactful was Miloš’s honest and practical approach. It wasn’t about forcing people to use specific tools – it was about finding what works for you. Whether you’re a PM, developer, or designer, everyone walked away with something actionable to improve how they plan and manage time.
